Web Development Proposal Template — Sprint Scope, Tech Stack, and Milestones
A technical proposal template for web developers and product studios with sprint-based scope, architecture overview, and milestone payment structure.
Development proposals require a different level of technical specificity than other proposal types. The client needs to understand what's being built, on what technology, in how many phases, and with what level of post-launch support. Vague scope is the number one cause of development project disputes — this template forces clarity.
The technical approach section covers: architecture decisions (monolith vs. microservices, SSR vs. SPA), tech stack (framework, database, hosting), third-party integrations (payment gateways, analytics, CMS), and infrastructure requirements. You don't need to write a technical spec — just enough to confirm alignment on approach.
Scope is organized by sprint or phase. Each phase lists specific deliverables with acceptance criteria: "Phase 1: Core platform — user auth, dashboard layout, database schema. Acceptance: user can register, log in, and see an empty dashboard." This level of specificity prevents the "I thought that was included" conversation.
The milestone payment structure ties directly to sprint deliverables: 30% deposit to begin, 25% at Phase 1 completion, 25% at Phase 2, 20% on launch. Each payment triggers on acceptance of the corresponding deliverable set.
Exclusions are critical in dev proposals. State clearly what's NOT included: hosting costs, domain registration, content creation, third-party API fees, ongoing maintenance beyond the included support period. Every exclusion is a potential upsell conversation later.
Post-launch support terms: "30 days of bug fixes included. Ongoing maintenance and feature development available under a separate retainer agreement." This sets expectations and creates a natural path to recurring revenue.
